How to create equipment on the Portal

Understand how to create and manage equipment records in the portal

Equipment or installation refers to the actual machine or asset on which you provide service. Every equipment item must be linked to a location. This ensures that whenever a customer makes a request regarding an equipment, the technician knows exactly where to go.

Steps to Create Equipment

  • Navigate to Services on the left navigation panel and select Equipment. This will open the equipment page.

  • Use the plus icon to add equipment or click Add New Equipment to start the creation process.

From here, you have two options at the top of the creation page:

  • Create a regular equipment (default option).

  • Toggle the switch to create a mobile equipment.

A mobile equipment is an equipment without a fixed address, such as cars or ships. For mobile equipment, you will need to add or select the address where it is currently located when creating a work order.

By default, the system is set to regular equipment. After selecting the type of equipment you want to create, you must fill in the following sections: Equipment Details, Additional Information and Warranty Information.

Filling Equipment Details

  • Location (Required): Select the location where the equipment is currently situated. This is mandatory so technicians can find the equipment for service requests. For mobile equipment, select the account.

  • Equipment Type (Required): Add new or select from an existing equipment type. The equipment type is also required because certain features in Wello depend on it. Features like forms to create forms relevant to the type of equipment, custom fields to build a spec sheet per equipment type, and work instructions to create checklists for different types of equipment.

  • Brand: Add new or select the brand.

  • Model: Add new or select the model. The model is linked to the equipment type and brand. Only when you add a model to an equipment will you be able to manage warranties, parts, and the bill of materials.

  • Equipment Name: The system automatically composes the equipment name from the type, brand, and model. You can rename it if needed for clarity.

  • Parent Equipment: If the equipment you are creating will be a sub-equipment (e.g., a component of a larger machine), select its parent equipment. If not, choose “None” or leave it empty.

  • Extra Information: Add any additional descriptive information about the equipment. Any information added here will be visible to the customer as well on the service desk.

Filling in Additional Information section

  • Serial Number: Enter the unique serial number.

  • Barcode: Enter the equipment bar code

  • Shutdown Information: Specify any shutdown procedures or information.

These options are all optional.

Provide the Equipment Warranty Information

  • Build Date: Select the build date, which is the date the equipment was manufactured.

  • Date in Production: Select the date in production, which is when the equipment became operational.

  • Warranty End Date: Once you select the date in production, the system will automatically calculate the warranty end date based on the warranty period set on the equipment model. The warranty starts from the date the equipment is in use (date in production). You can modify the warranty end date if necessary.

  • Replacement Date: Select the replacement date, which is when the equipment is scheduled for replacement.

These fields are optional and can be updated later.

Finalizing Equipment Creation

Once all the information has been provided, click the Save button. Your equipment will then be successfully created.

Below the equipment creation page, you will find the following options:

  • Create Another Checkbox: If checked, once you save the current equipment you are creating, the system automatically opens the equipment creation page again so you can add another equipment item.

  • Cancel Button: Discards changes and returns you to the previous screen.
