How to search for product on the portal

Learn how to search for product, stock(parts) or service product( dummy article, hour article, service article, mileage fee, travel fee) on the portal.

The Wello product page helps you quickly find any product stored in your system.
Whether you know the product number, product name, a keyword, or only the category it belongs to, the product page gives you multiple ways to locate exactly what you need.

How to Access the Product Search Page

  1. Navigate to the Product menu on the left navigation panel.

  2. Select Products. The product page will open.

  3. At the top of the page, you will see the Product search filters.

  4. If the filters are not visible. Click the Filter icon in the top-right corner to show or hide them.

The product module provides several standard filters. These appear at the top of the page and help you quickly search for specific product.

There two main ways to search for products. You can search by keyword and category search or search by product groups. You can switch between them using the toggle button at the top of the product search page.

Keyword and Category Search (Default)

This is the default and most commonly used method for searching products. It provides several filter fields:

  • Keyword: This filter searches for a phrase that appears in any part of the product number, name, or description.

  • Product Category: Filter product by the category it is linked to. If you know the category, select it from the dropdown list. Categories are organized in a tree, so you can pick the exact group you want.

  • Service Property: This filter helps you search for products based on their service properties. Available options include: Dummy, Travel fee, Mileage fee, Hour article and Service article.

After selecting your filters, Click the Search Button. The results will appear in the grid below.

To include any archived product during your search, check the include archived products box below the filters.

Product Group Search

To search by product group, Toggle the search mode to Product Group at the top of the search filters. This is helpful if your products are organized in groups and subgroups.

  • Select a product group or subgroup to display all product link to that group or subgroup.

  • After selecting your filters, Click the Search Button. The results will appear in the grid below.

Clear Filters

Click the Clear button to reset all filters to their default state. It removes any filter criteria you have entered or selected.

Example: If you filtered by “Service property: Travel fee,” clicking Clear will remove that filter and clear all product from the grid.

Understanding the Results Grid

After applying filters, your product results appear in a grid below. Each row represents a product, and each column displays a specific data field.

Wello provides a large number of columns to display product data, including:

  • Part number (Product number)

  • Part name (Product name)

  • Part description

  • Category

  • Service Property

  • Unit of measure

  • Warranty period

  • Color name

  • Color code

  • Serialized

  • Cost

  • Retail price

  • Bar code

  • Replacement part

  • Custom fields (product group field)

Note that not all columns appear by default. You can show or hide columns based on your needs.

Customizing the Grid View

You can adjust the grid to show only the columns and data that matter to you.

How to Add or Remove Columns

  1. Click the Columns selector at the top-right of the grid. A side panel opens showing all available column data fields.

  2. Check or uncheck column to show or hide them

  3. Click the selector again to close the panel.

All checked column field will be shown in the grid

Using Column Filters

Each column header in the grid also supports filtering. These filters allow you to apply logic-based conditions to narrow down product search results even further.

Common Filter Logics:

Contains: Shows rows where the column value includes the text you enter.

Not Contain: Excludes rows where the column value includes the text.

Equals: Shows rows where the column value exactly matches your input.

Not Equal: Excludes rows with an exact match.

Starts With: Shows rows where the column value begins with your input.

Ends With: Shows rows where the column value ends with your input.

Greater Than/Less Than: (For dates/numbers) Filters for values above or below your input.

In Range: It allows you to pick a Start Date and an End Date. The grid will display only the records that fall between those two dates

How to Use the Filters in the Product Column Header.

Hover over a column header and click on the column menu icon (☰).

  1. Go to the filter section.

  2. Select your filter logic (e.g., Contains).

  3. Enter your filter value in the text box. The text box below the logic allows entry of a keyword or phrase.

After entering a value in the text box, a second set of filter options (logic & text box) will appear below the first, between them is an AND / OR toggle. AND will return only data that match both conditions. OR will return data that match either condition.

This makes it possible to combine two logics and two search phrases, or simply use one and ignore the second.

4. Click Apply. The grid will update immediately based on your selected filter logic. For example, Selecting Logic: “Contain” and entering the Value: “Care”, in the part name column, then apply will display only product that has the word “Care” in its name on the grid.

After searching for product using any of the standard filter you can also use the column logic-based filters to further refine your search.

You can apply filters to multiple columns at once for more precise result.

Product search limit

When you search for products in the Wello Portal, the list shows only up to 100 product at a time. Even if there are more products in the system, the product search page will not show anything beyond the 100th product. The portal has been designed to show only 100 products in the grid at a time to make the product page load faster. This does not mean any product is missing, it is only a limit on the amount of product result shown at once in the grid.

If you can’t see a product in the list, Try using any of the product search filter to look for the product and also use the column filters to also narrow down your search.

Exporting Your Data

Once you have filtered your product list using the standard or column filters, you may want to extract this data. The filtered results shown in the grid can be exported for reporting or external use.

To export your product data.

  1. Position your cursor anywhere in the data grid, right-click and Choose Export from the menu.

  2. Pick the file format you want. CSV (good for spreadsheets), Excel (.xlsx) (standard Excel format) or Excel (.xml) (structured data format). The application will package up your data, including the headers, into the file format you selected.

  3. Save the file on your computer when prompted

Depending on your user rights in the product page, you can Add a new product, edit an existing product, view product details and archive a product.
