Default Rights of Users in a User’s Groups

User groups are the basis for managing users and their rights in Wello. When creating a user group on the portal, you must select or define the user group type. These types act like roles and serve as templates, pre-configuring the user rights according to that role.

The following types are available:

  • Administrators

  • Backoffice

  • Service managers

  • Technician

  • Field sales rep

  • Field sales group

  • Subcontractor group

  • Timesheet users

While the functionality of a user group differs based on the selected type, an administrator group is always required to govern groups and manage users. A user is always linked to a user group, and will inherit rights from it. If needed, rights can be fine-tuned at user level.

User Group Type: Administrators

This is a special group type: there must always be exactly one administrator group. It cannot be deleted and and you cannot create a second one. In fact, Wello Solutions comes preloaded with an administrator user group. At least one user must be linked to it, It is inside this group that you will find the account holder (the primary owner of the Wello account).

By default, administrators have access to all Wello modules and the broadest set of rights.

Mobile Apps rights

  • Allow the mobile user to reschedule Work order

  • Allow the mobile user to change the equipment linked to the work order

  • Allow the mobile user to enable the timer popups that reminds the technician to fill in the timesheets at certain moments

  • Allow the mobile user to register his/her timesheets

  • Allow the user to manage also tasks not assigned to him

  • Timesheet start and end times can be adapted (if not allowed, the actual start and end times will be used automatically)

  • Show the price of the parts

  • Allow to review work orders

  • Allow the mobile user to create & edit equipments

  • Enable pick-up messages on top of the 'My work orders'-list

  • Allow the mobile user to manage his own app rights

  • Allow the mobile user to create work orders

  • My WO List - extend the planned work order horizon

  • Show the price of the billable hours

  • Create contact

  • Accounts - create

  • Edit contact

  • Archive contact

CRM Module

  • Create, edit, and archive account

  • Create, edit, and archive contact

  • Create, edit, and archive invoice

  • Allow the user to manage also tasks not assigned to him

Services Module

  • Create, edit, and archive equipment

  • Allow planning edit

  • Create edit, cancel, and reopen work order

Product Module

  • Create, edit, and archive product

Users Module

  • Access to Timesheets

  • Create edit and delete Unavailability

  • Edit or archive users

  • Access to all user groups

Extra Module

  • Access to apps, dashboard, documents, and subscriptions

Settings Module

  • Access to all Wello Settings configuration


User Group Type: Backoffice

Back-office users primarily work on the Wello web portal. By default, Back-office users will have the following access rights:

CRM Module

  • Edit and archive account

  • Allow users to lookup suppliers

  • Create, edit and archive contact

  • Create, edit and archive invoice

  • Allow the user to manage also tasks not assigned to him

Services Module

  • View Contracts

  • Edit and archive equipment

  • Allow planning edit

  • Create, edit, cancel and reopen work order

  • Allow creation of purchase order in work order

Product Module

  • View product

Users Module

  • Access to Timesheets

  • Create edit and delete Unavailability

  • Edit or archive users

  • Access to all user groups

Extra Module

  • Access to apps, dashboard, documents, and subscriptions

Note: Back-office users can also access the mobile app if the rights are enabled for them.


User Group Type: Service Managers

Service managers are responsible for overseeing service operations like work orders management on the web portal. They also have limited access to the field service app. By default, they will have the following rights:

Mobile App Rights

  • Allow the mobile user to register his/her timesheets

  • Timesheet start and end times can be adapted (if not allowed, the actual start and end times will be used automatically)

  • Show the price of the parts

  • Allow the mobile user to create & edit equipment’s

  • Enable pick-up messages on top of the 'My work orders'-list

  • Allow the mobile user to manage his own app rights

  • Allow the mobile user to create work orders

  • Show the price of the billable hours

Services Module

  • Create and edit equipment

  • Allow planning edit

Product Module

  • Create, edit and archive product

Users Module

  • Create edit and delete Unavailability

  • Access to all user groups

Extra Module

  • Access to apps, documents, and subscriptions


User Group Type: Technician

Technicians are field service users who perform tasks such as installing, maintaining, and repairing equipment, as well as managing work orders, tasks, timesheets, and customer information through the mobile app. These users will only have access to the Wello field service app and by default will have the following rights:

Mobile App Rights

  • Allow the mobile user to register his/her timesheets

  • Start and complete work orders

  • Show the price of the parts

  • Allow the mobile user to create & edit equipment’s

  • Enable pick-up messages on top of the 'My work orders'-list

  • Allow the mobile user to create work orders

  • Show the price of the billable hours

  • Show on Planning

User Group Type: Timesheet Users

Timesheet users are users who use the mobile app specifically to fill in timesheets without needing to complete work orders. They download the same mobile app as field service technicians, but the app automatically detects their profile as timesheet users. By default, they will have the following rights:

  • Allow the mobile user to enable the timer popups that reminds the technician to fill in the timesheets at certain moments

  • Allow the mobile user to register his/her timesheets

  • Allow the mobile user to manage his own app rights

Note: You can edit or add more rights per group, but it is recommended to keep role logic intact for easier management in the long run.
