Wello Solutions is a field service management software built around three core platform: the Web Portal, the Field Service App (FSA), and the Customer Portal. One of the key features of Wello is the ability to personalize the look and feel of the platform through theme color settings.
These settings allow organizations to align the Wello interface with their company branding, creating a consistent and professional experience for back-office teams and field technicians alike.
Theme settings in Wello are divided into two parts — the Menu Theme and the Module Theme.
The Menu Theme controls the color of the main navigation sidebar (the vertical menu on the left side of the portal screen), while the Module Theme determines the color scheme applied to the content areas and module pages throughout the platform. Both of these can be configured at the organization level by an administrator, and under certain conditions, individual team members can personalize their own theme preferences as well.
Understanding the Wello Menu Theme and Module Theme
The Wello portal organizes all activities through a vertical navigation menu positioned on the left side of the screen. This includes the headers, buttons, accents, and other visual elements displayed when navigating through the various modules like work orders, invoices, equipment, and planning screens. The color of this navigation menu is what the Menu Theme controls. When a different menu theme color is selected, the entire left-hand navigation sidebar updates to reflect the chosen color scheme.
The Module Theme, on the other hand, determines the color scheme applied across the different content areas and pages within Wello. Together, these two settings give full control over the visual identity of the Wello platform.
Wello provides a list of pre-defined theme colors to choose from. By default, new accounts are assigned the standard Wello theme(Wello Green).
Depending on the license plan, the number of available themes may vary. Standard plans offer access to the three core Wello themes, while higher-tier plans unlock the full range of available color options.
Setting the Theme on the Wello Portal (For Back-Office Users)
Administrators manage the default theme settings for the entire organization through the portal General Settings. This ensures that every team member who logs in sees a consistent color scheme from the start.
How to Access the Organization Theme Settings
Log in to the Wello portal with an administrator account.
Click on the Settings gear icon located in the top-right corner of the screen.
Navigate to Get Started from the settings menu.
Select the General Settings tab.
Once inside General Settings, the theme configuration options are located within the General Settings panel at the top of the page. If the organization operates with multiple sales organizations, a dropdown at the top of the page allows selecting which organization the settings should apply to, since theme settings are configured per organization.
Configuring the Default Menu Theme
Within the General Settings panel, there is a dropdown labeled "Default Menu Theme." This dropdown presents a list of available theme colors. Selecting a color from this list sets the default color of the left-hand navigation menu. This includes the headers, buttons, accents, and other visual elements displayed when navigating through the various modules like work orders, invoices, equipment, and planning screens for all portal users within that organization. When a new team member logs in for the first time, the navigation menu will appear in this chosen color.
Configuring the Default Module Theme
Just below the Menu Theme setting, there is a second dropdown labeled "Default Module Theme." This controls the color scheme applied to the content areas and module pages. The same list of available colors is presented, and the selected color becomes the default module theme across the portal for all team members in that organization.
Both the Menu Theme and Module Theme are stored as a combined setting, meaning administrators define the pairing of navigation color and module color that best represents the organization's branding.
The Allow User Overwrite Option
Directly below the theme dropdowns, there is a checkbox labeled "Allow user overwrite." This is a critical setting that determines whether individual team members on the portal and field service app are allowed to change their personal theme, or whether the organization-wide default is enforced for everyone.
When this checkbox is enabled, each team member can go into their own preferences and select a different theme color. This is useful for organizations that want to give their team some degree of personalization, allowing field technicians or back-office staff to pick the color scheme they are most comfortable with.
When this checkbox is disabled, the theme selections made by the administrator are locked in for all users. No one on the team can override the organization's chosen color scheme. This is particularly useful for organizations that want strict visual consistency across the platform, especially when multiple people are accessing the portal and a uniform brand appearance is desired.
How Portal Users Can Configure Their Own Theme (My Preferences)
When the administrator has enabled the "Allow user overwrite" option in General Settings, individual portal users such as back office, service managers, administrator gain the ability to personalize their own Menu Theme and Module Theme directly from within the Wello portal. This means each team member on the Wello Portal can choose a color scheme that suits their personal preference without affecting the theme for anyone else in the organization.
To configure a personal theme on the portal, the user needs to navigate to the preferences screen. This is done by locating the profile picture or profile icon in the top-right corner of the portal screen and the user should select "My Preferences."
Selecting "My Preferences" opens the Preferences screen.
On the Preferences screen, two fields are displayed for theme configuration — one labeled "Menu Theme" and the other labeled "Module Theme." These work exactly the same way as the organization-level dropdowns in General Settings, but the selections made here only affect the individual user's experience.
The Menu Theme dropdown lists all available theme colors for the left-hand navigation sidebar. This includes the headers, buttons, accents, and other visual elements displayed when navigating through the various modules like work orders, invoices, equipment, and planning screens. The user simply clicks the dropdown, browses the available colors, and selects the one they prefer.
The Module Theme dropdown lists the same set of available colors, but this selection applies to the content areas across the various module pages. After selecting a color, and click the save button, the portal menu and module pages will adopt the new color scheme.
These personal preferences are saved to the user's account and will persist across sessions. Every time the user logs back into the Wello portal, their chosen theme colors will be applied automatically.
When the Theme Options Are Not Available
If the "Allow user overwrite" checkbox has been disabled by the administrator in General Settings, the Menu Theme and Module Theme options on the My Preferences screen will not be available or displayed. In this case, the user will not be able to change their personal theme, and the organization's default theme will remain in effect at all times. If a user notices that the theme options are not available on their Preferences screen, it typically means the administrator has chosen to enforce a uniform theme across the organization.
Setting the Theme on the FSA (Field Service App)
The Field Service App is used by technicians. It supports the same theme color system as the portal, ensuring that the visual experience remains consistent whether working from a desktop or a mobile device.
How Theme Settings Sync to the FSA
When an administrator sets the default theme on the portal, this configuration is synchronized to the FSA app. The first time a technician logs into the FSA, the app will display the organization's default theme color. This synchronization happens automatically during the data sync process, so there is no additional setup required on the mobile side.
Changing the Theme on the FSA App
If the administrator has enabled the "Allow user overwrite" option on the portal, technicians can personalize their theme directly from within the FSA app. The process is straightforward:
Open the FSA app and select the main menu (9-dot icon) in the top right, then navigate to the Settings screen.
Go to the Preferences tab.
Look for the Theme option, which displays a list of pre-defined theme colors.
Select the preferred theme color from the list.
The selected theme will be applied immediately and will persist across sessions. This preference is also synced, meaning if the technician logs in from a different device, their chosen theme will carry over.
However, if the "Allow user overwrite" setting is disabled on the portal, the Theme option in the FSA Preferences will be locked, and technicians will not be able to change it. The app will always display the organization's default theme as configured by the administrator.
Theme Availability Based on License Plan
The number of themes available for selection in the FSA app is tied to the organization's license plan. On standard plans, only the three core Wello themes are available. If a technician tries to access additional themes under a standard plan, a message will appear indicating that the current license plan does not include additional themes, and suggests contacting the administrator for a higher plan.
