How to plan on multiple technicians when the work order is already planned

Plan an already scheduled work order for multiple technicians.

Sometimes you may already have a work order planned for one technician, but later realize it needs to include a second or even multiple technicians. There are two ways to do this.

First, go to Services in the left navigation panel and select Planning.


Method 1: Assigning the Same Work Order to Another Technician

On the planning page, if a work order has been planned for a technician (let’s say Alex, for example), and you want to add another technician to that same work order:

  1. Note the reference number of the work order. For example, if the reference number is 555.

  2. Go to the second technician you want to plan the work order for (for example, Byron). On the planning slot, Left-click, hold, and drag to select the same time slots for the second technician.

  3. Right-click and select Assign to Work Order. This will open a work order search page.

  4. At the top of the page, search for the work order using the WO Ref filter option. Enter the reference number into the WO Ref box and click the Search button.

  5. The work order result will be displayed in the grid below. Select or check the work order. It will now be planned for the second technician in the selected planning slot.

The second technician will automatically be assigned as the team leader by default, indicated by the fully white colored user icon.

It is important to note that in any single work order involving multiple technicians, only the work order leader can start and complete the work order. While other technicians will be able to view the work order details and see who the other planned technicians are and who is assigned as work order leader, but they will not be able to start it.

If you’d like to change the leader:

  • On the planning slot, select the work order for the desired technician.

  • Right-click and select Assign as Work Order Leader. The leader icon will update immediately.

You can also use this method to plan the work order to another day for the same or different technicians.


Method 2: Split Work Order Planning

The second method is to split the work order.

  1. On the Planning slot, Select the work order, right-click and select Split Work Order Planning. This divides the same work order into two parts.

  2. Move one part to another technician.(click & drag)

  3. Adjust the duration of the work order on the planning slot. You can do this by positioning your mouse cursor at either the front or back edge of the work order. When your cursor changes to an arrow, left-click, hold, and drag forward or backward to make it longer or shorter.

If more than two technicians are involved, continue splitting the work order and move each part to other technicians. Adjust durations as necessary and change the team leader if needed.

That is how you can plan the same work order for multiple technicians even after it has already been planned.
